Palcode.ai for Egnyte: Zero-Click ITB Bid Intake & AI-Powered Bid Leveling

Overview
Palcode.ai integrates directly with Egnyte to automate ITB bid intake and AI-powered bid leveling. All bid submissions received via email, PlanHub, or vendors are automatically logged into Egnyte and analyzed in Palcode—without manual uploads or sorting.

Step 1: Connect Egnyte Inside Palcode.ai
Any Palcode.ai user with access to the Tools menu can perform this step.

  1. Log in to https://project.palcode.ai

  2. Navigate to Tools from the header menu

  3. Locate the Egnyte integration card and click Connect Egnyte

  4. Authenticate using your Egnyte credentials

  5. Approve the requested permissions

  6. You will be redirected back to Palcode.ai and the connection status will update to Connected

Step 2: Configure Egnyte Project Folder
Map Palcode projects to their corresponding Egnyte folders.

  1. Select the project inside Palcode.ai

  2. Configure the destination Egnyte folder path

  3. All ITB bid documents will be logged into this folder automatically

Step 3: Configure ITB Intake Email
Palcode.ai uses a dedicated intake email to capture all bid submissions.

  1. The Palcode onboarding team will share the intake email address

  2. Add this email to bid platforms such as PlanHub

  3. Ask vendors to CC this email on direct bid submissions

Step 4: Automatic Bid Logging
Any ITB email sent or CC’d to the configured email address is automatically:

  • Identified as a bid submission

  • Mapped to the correct project

  • Logged into the configured Egnyte folder

Step 5: View AI Bid Analysis
Review AI-powered bid leveling results in Palcode.ai.

  1. Navigate to Bid Management → Bid Analysis

  2. Select the project

  3. Review scope gaps, exclusions, risks, and recommended bids

What Data Gets Processed
After setup, Palcode.ai automatically processes:

  • ITB bid documents

  • Vendor submissions and attachments

  • Inclusions, exclusions, alternates, and clauses

Where to View Egnyte Data in Palcode.ai
After connecting Egnyte, bid data and insights are available in:

  • Dashboard

  • Bid Management

  • Bid Analysis

  • Tools > Integrations (connection management)

Troubleshooting
Not seeing bids?

  • Verify vendors are CC’ing the intake email

  • Confirm the Egnyte folder path is correctly mapped

  • Try reconnecting the Egnyte integration from Tools

Troubleshooting – Frequently Asked Questions

1. The integration shows “Not Connected” in Palcode.ai. What should I do?
This usually means Step 2 is incomplete. After the Company Admin installs the app in Procore, each user must connect Procore inside Palcode.ai by navigating to Tools > Integrations and clicking “Connect to Procore.”

2. I do not see a permissions screen when logging into Procore during connection. Is this an issue?
No. This is expected while the app is still in Developer Mode. The Procore permissions/authorization screen will appear only after the app is published and approved on the Procore Marketplace.

3. Another team member installed the Palcode.ai app in Procore. Do I need to install it again on my account?
No. Only one Company Admin needs to install the app in Procore. However, every Palcode.ai user who wants to use the integration must still connect their own Procore account through Palcode.ai.

Uninstalling the Integration
From Palcode.ai: Tools > Integrations > Disconnect Procore.
From Procore: Company Admin > App Management > Select Palcode.ai > Uninstall.
